Executive Assistant to the Founders

Job Description

We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high-impact role that goes beyond the traditional administrative support-you will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs.

The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, multi-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors.

Singular Builders is a San Francisco-based construction company focused on delivering complex, design-forward, and technically demanding projects. Our work includes seismic retrofits, ground-up construction, urban infrastructure projects, and high-end commercial interiors across California and Arizona.

Founded by industry veterans, the company is quickly establishing itself as one of the fastest-growing construction startups in the Bay Area, with a strong and growing pipeline of complex, design-forward projects across multiple markets.

Responsibilities

Executive Support:

  • Manage complex and dynamic calendars, prioritizing competing demands.
  • Coordinate meetings with clients, consultants, subcontractors, and internal teams.
  • Draft and manage professional correspondence and internal communications.
  • Coordinate travel logistics and detailed itineraries.
  • Serve as a gatekeeper and liaison for executive communications.

Operations & Project Coordination

  • Support active construction projects through documentation, scheduling, and coordination.
  • Track project deadlines, deliverables, and follow-ups across multiple teams across multiple teams.
  • Assist with permits, contracts, and project documentation organization.
  • Coordinate with project managers, subcontractors, and consultants.
  • Help ensure clear communication between office and field teams.

Financial & Administrative Support 

  • Track invoices, expenses, and reimbursements.
  • Assist with vendor coordination and basic bookkeeping.
  • Maintain organized filing and document systems.

General Support

  • Assist with company events, meetings, and team coordination.
  • Build strong cross-functional relationships.
  • Take ownership of ad hoc projects and problem-solving as needed.

 

 

Qualifications

  • 5+ years of experience supporting executives or leadership teams.
  • Experience in construction, real estate, architecture, or related industries preferred.
  • Strong organizational and project coordination skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion and professionalism.
  • Proactive mindset with strong problem-solving ability.
  • Bachelor’s degree preferred but not required.

Technical Skills:

  • Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
  • Google Workspace
  • Docusign and document management tools
  • Familiarity with construction documentation is a plus

Additional Information

Compensation and Benefits:

  • $115,000 – $145,000 base salary (depending on experience)
  • Performance bonus
  • Profit sharing

  • Health, dental, vision insurance (with select plans 100% covered by the company)
  • 4 weeks paid time off
  • Paid holidays

Work Environment:

  • This is an in-office role based in San Francisco.
  • Occasional visits to project sites and meetings.
  • Come flexibility required based on project and executive needs.

 

At this time, Singular Builders is not considering relocation for open positions. Candidates should be locally based or prepared to relocate independently.
